Find a cost-coverage floor before choosing a price
A freelance rate needs to cover the annual targets you set in the hours you can actually sell. Dividing a desired salary by every nominal working hour ignores sales, administration and time off. The Freelance Rate Calculator keeps those assumptions visible and produces an hourly floor, a full billable day and a project quote.
The floor is not a market-rate recommendation. A negotiated price also depends on the scope, value of the work, demand, risk and alternatives available to the client. The Australian Government's pricing strategy guidance distinguishes cost-based and value-based approaches. This worksheet provides one cost-based reference rather than selecting the right commercial price for you.

Define annual pay and business costs clearly
The annual pay input is the amount intended for you after business expenses but before personal income tax. It is not after-tax take-home pay. Add annual business expenses such as software, insurance, equipment and workspace. An additional reserve is an explicit amount of your choosing; it is not a default tax calculation or a promised profit margin.
Fees deducted from all invoiced revenue require a gross-up. Required revenue equals annual pay plus expenses plus reserve, divided by one minus the revenue-fee percentage. For a $66,000 requirement and a 10% fee on all revenue, invoicing $73,333.33 leaves $66,000 after that fee. Multiplying $66,000 by 1.10 would not achieve the same result. Do not also enter this percentage fee inside annual expenses.
Work out hours you can invoice
Working hours per year are working weeks multiplied by working days per week and hours per day. Use weeks after planned leave and public holidays. Multiply that working capacity by a realistic billable percentage. The remainder represents working time spent on tasks such as proposals, bookkeeping, professional development or unpaid client administration.
Avoid deducting the same allowance twice. If your 46 working weeks already exclude leave, do not remove that leave again in billable utilization. If project management is part of the work you actually invoice, it belongs in the project's billable scope rather than being automatically discarded as overhead. The calculator does not decide these definitions for your contract.
Reproduce the hourly and day-rate example
Use annual pay of $48,000 before personal tax, $12,000 business expenses and a $6,000 reserve. With no revenue-based fee, the annual revenue requirement is $66,000. Work 46 weeks, five days a week and 7.5 hours per day. That produces 1,725 working hours. At 60% utilization, 1,035 hours are billable.
The hourly cost-coverage floor is $66,000 ÷ 1,035, or about $63.77. A full 7.5-hour billable day is about $478.26. This does not mean invoicing that amount for every working day: the hourly floor already allows for days or hours that cannot be sold. Use the utilization table to compare another capacity assumption while holding the annual target unchanged.
| Billable share | Annual billable hours | Hourly floor |
|---|---|---|
| 40% | 690 | $95.65 |
| 60% | 1,035 | $63.77 |
| 80% | 1,380 | $47.83 |
Turn scoped hours into a project quote
For a project estimated at 20 billable hours, the unrounded hourly floor gives a base of about $1,275.36. A 10% extra project contingency adds about $127.54, producing $1,402.90. The calculator applies this contingency once to the project; it does not increase the annual hourly floor as well. Review whether an annual reserve and project contingency cover different risks in your own plan.
A fixed quote also needs a clear deliverable, revision allowance, dependencies and acceptance conditions. An hourly calculation cannot discover missing scope. Keep the current case as a comparison, change the scoped hours and inspect the resulting quote. Once a price is agreed, the invoice generator can prepare a bill using your chosen amounts.
Save the assumptions and review the boundaries

Frequently asked questions
Is the calculated rate a market rate?
No. It is the rate needed to cover the annual targets and capacity entered in this model. Your actual agreed price also depends on scope, value, demand and market conditions.
Does the annual pay target mean after-tax take-home pay?
No. It is pay after business expenses but before personal income tax. The calculator does not apply local tax rules, VAT/GST or social contributions.
