What this result assumes
- The hourly floor covers the inputs; it is not a market-rate recommendation. Personal income tax, VAT/GST and demand for your services are not calculated.
- A day rate assumes every hour in that day is billable. The annual utilization allowance is already included in the hourly floor.
- Change the revenue-fee percentage only for fees charged on all revenue. The project contingency is extra and applies once to the project.
What billable capacity changes
Same annual targets and costs; only billable utilization changes.
| Billable time | Hours per year | Hourly floor |
|---|---|---|
| 40% | 690 | $95.65 |
| 60% | 1,035 | $63.77 |
| 80% | 1,380 | $47.83 |

What is the Freelance Rate Calculator?
A freelance rate calculator divides the annual revenue you need by the hours you expect to invoice. This worksheet includes business expenses, a reserve and revenue-based fees, then calculates an hourly floor, full billable day and project quote. Personal income tax and market rates are not inferred.
Privacy and processing
The calculation and exports run on your device. A saved scenario contains your entered financial assumptions only when you explicitly save it in this browser. No figures are uploaded or included in tool-event analytics. These are planning models, not forecasts or tax calculations.
How to use Freelance Rate Calculator
- 1Enter your annual pay target before personal tax, business expenses and an additional reserve. Add a revenue-based fee only if it applies to all invoiced revenue.
- 2Set working weeks, days and hours after time off, then estimate the share of that working time you can actually invoice.
- 3Review the hourly cost-coverage floor, full billable day and project quote. Project contingency is applied once, only to the project.
- 4Keep a comparison, test a different utilization assumption and export the calculation. Optionally save a named scenario locally for your next quote.
What you can do
Realistic billable capacity
Keep annual working time separate from hours sold to clients.
Revenue-fee gross-up
Calculate the revenue needed when a platform retains a percentage of every invoice.
Project pricing worksheet
Add scoped billable hours and an explicit project contingency without changing the annual hourly floor.
Repeat use
Save optional financial scenarios on your own device and download the assumptions with the result.
When this tool helps
Freelancer planning
Check whether a proposed hourly rate covers the annual targets you entered.
Fixed-price quote
Convert scoped hours into a project estimate, then compare a different scope or contingency.
About Freelance Rate Calculator
A freelance cost-coverage rate divides required annual invoiced revenue by annual billable hours. This model adds your pre-personal-tax pay target, annual business expenses and reserve, then divides by one minus the revenue-fee percentage. Billable hours are working weeks × working days × hours per day × billable share. The day rate assumes a full day of billable work; the utilization allowance is already included in the hourly floor. A project quote adds the chosen contingency to scoped billable hours at that floor. The result is not a market rate or take-home pay estimate. Personal income tax, VAT/GST and local legal entitlements are not calculated. The Australian Government's pricing strategy guidance explains why costs, value and market demand all matter. See the hourly-rate worked example, then use the invoice generator to prepare a bill with the agreed rate.
Build a cost-coverage rate from annual pay before personal tax, business expenses, a chosen reserve and expected billable capacity. Include revenue-based platform fees without double counting, check a project contingency and see how utilization changes the result. Currency labels support USD, GBP, EUR, CAD and AUD; no exchange-rate or local tax calculation is implied.

Frequently asked questions
- How do I calculate my freelance hourly rate?
- Add your annual pre-personal-tax pay target, business expenses and chosen reserve. Gross that amount up for any fees deducted from all revenue, then divide by your realistically billable hours for the year. This produces a cost-coverage floor; market value and demand may support a different agreed price.
- Does this estimate take-home pay or local taxes?
- No. The annual pay input is before personal income tax. The model does not calculate income tax, VAT/GST, social contributions or local legal entitlements. Include an appropriate reserve in your own planning and review actual obligations separately.
- Why does billable utilization change the rate so much?
- Sales, bookkeeping and administration consume working time but are not always invoiced. The same annual target must be earned in fewer sold hours. Do not subtract the same non-billable allowance again after the calculator has already included it in the hourly floor.
- Are saved financial scenarios private?
- Calculations and exports run in your browser. Saving is optional and stores the entered assumptions only in that browser. Scenarios are not uploaded or synced. Delete them in the tool or clear browser storage, and avoid saving sensitive figures on a shared device.
