Software ROI Calculator

Build a software business case with setup costs, subscriptions and an adoption ramp. Separate recovered staff capacity from cash savings; compare and export scenarios.

Compare a software subscription with its setup costs, adoption ramp and measured benefits. Recovered staff capacity and cash savings are shown separately.

Starts with an illustrative example. Calculations stay on this device. Currency changes labels only; it does not convert amounts.

Software costs

Support, integrations or an extra platform fee. Annual fees should be entered as a monthly equivalent.

Include migration, training, implementation fees and internal setup labor once.

Benefit assumptions

Use measured time saved for the same workflow; avoid counting it again as cash savings.

This values recovered capacity. It does not automatically reduce payroll or produce cash.

Costs actually removed, such as a retired subscription. Exclude the time savings above.

Incremental profit after variable costs, not gross sales. Do not also count it as saved-time value.

Timing

A linear ramp applies to every benefit. Zero means full benefit in month 1. All recurring costs start in month 1.

What this result assumes

  • Modeled ROI includes the value assigned to recovered staff capacity. The cash-only result excludes that capacity value; payroll savings are not assumed.
  • 52/12 weeks per month is an annual average. The ramp scales all benefits, while subscriptions and other recurring costs are charged from month 1. Setup is charged in month 0.
  • This is an undiscounted planning model. It omits taxes, inflation, financing, residual value and future price changes. Do not count the same benefit in two inputs.

Saving is optional. A saved scenario contains the financial assumptions entered above and stays in this browser. It is never uploaded or synced. Load or delete it here; avoid saving private business figures on a shared device.

What is the Software ROI Calculator?

A software ROI calculator compares modeled benefits with subscription and implementation costs. This worksheet separates recovered staff capacity from cash savings, applies your benefit ramp and shows the monthly ledger. It calculates an undiscounted scenario from your inputs rather than predicting adoption or revenue.

    Privacy and processing

The calculation and exports run on your device. A saved scenario contains your entered financial assumptions only when you explicitly save it in this browser. No figures are uploaded or included in tool-event analytics. These are planning models, not forecasts or tax calculations.

How to use Software ROI Calculator

    1. 1Replace the illustrative example with your paid-user count, per-user monthly subscription, other recurring costs and one-time implementation cost.
    2. 2Enter measured weekly time savings, loaded staff cost and realistic adoption. Separate genuinely removed cash costs and additional gross profit from recovered capacity.
    3. 3Choose an evaluation period and benefit ramp. Read both modeled ROI and the cash-only result, then inspect month 0 setup and the monthly ledger.
    4. 4Keep a comparison before changing assumptions. Copy or download the report and optionally save a named scenario on this device.

    What you can do

    • Complete cost view

Include setup, migration, training and recurring subscription costs without counting a setup expense every month.

    • Capacity versus cash

Value the fraction of recovered time that is actually used, while showing a separate cash-only net result.

    • Adoption ramp and horizon

Apply a linear benefit ramp over a 1–60 month evaluation with a complete monthly ledger.

    • Reusable business cases

Compare assumptions and export all inputs, results, costs and benefits to CSV or text.

    When this tool helps

    Subscription review

Compare a proposed SaaS purchase with the costs it would replace.

    Implementation planning

Test a slower rollout or lower adoption before relying on a positive return.

    About Software ROI Calculator

Software ROI is modeled as (total benefit minus total cost) divided by total cost. A zero-cost scenario has no defined ROI percentage. This tool charges implementation in month 0 and recurring costs from month 1; benefits follow the chosen linear ramp. Time value uses paid users × weekly hours saved × 52/12 × loaded hourly cost × adoption × realized-time share. That value describes recovered capacity, not an automatic payroll saving. The cash-only result excludes capacity value. Avoid entering the same benefit again as additional gross profit. The ledger is undiscounted and excludes taxes, financing and future price changes. See ROI formula and its limitations and the worked software ROI method. Freelancers can model their own billable capacity with the freelance rate calculator.

Evaluate a SaaS subscription over 1–60 months using per-user pricing, implementation costs, measured hours saved, adoption and realized value. Compare modeled ROI with cash-only return, inspect the monthly ledger and save optional scenarios locally. All figures are user-entered assumptions, not vendor benchmarks or performance forecasts.

    Frequently asked questions

    How is software ROI calculated?
Modeled ROI is (benefits minus costs) divided by costs, multiplied by 100. Costs include the one-time setup and monthly subscription charges during your chosen period. Benefits follow the adoption ramp. The report separates recovered capacity value from cash cost reductions and additional gross profit.
Is time saved the same as cash saved?
No. Time saved can create useful capacity without changing payroll or cash spending. The model discounts time value by adoption and the share put to productive use, then shows a separate cash-only result that excludes that capacity value.
How does the implementation ramp work?
All benefits scale linearly to their full modeled amount over the entered ramp months. For three months, the factors are one third, two thirds and then the full amount. Recurring costs begin in month 1; setup is recorded in month 0. This is a stated assumption, not a predicted adoption curve.
What happens when software costs are zero?
The tool still shows modeled benefits and net value, but reports ROI as undefined because dividing by zero does not produce a meaningful return percentage. A missing payback month means the cumulative modeled value did not reach zero within the chosen period.
